
IFAP Privacy Policy
The objective of this policy is to provide a code of conduct in relation to the use of information about individuals which may be collected, stored, and used by IFAP. This Policy applies the ten National Privacy Principles (NPP) as scheduled in the Privacy Amendment Act (Act No. 155 of 2000) – www.privacy.gov.au If any part of this policy conflicts with the NPP then the NPP shall take precedence.
1. Collection of Personal Information
- IFAP will not collect personal information on any individual, unless that information is necessary to perform our normal business functions and activities.
- IFAP will collect information only by lawful and unobtrusive means.
- Any individual from whom personal information is collected may access their personal information upon request.
2. Use and Disclosure of Personal Information
- IFAP will not use or disclose personal information for any other purpose than the purpose for which it was collected.
- IFAP will not disclose personal information to any other organisation or individual unless required to do so.
- IFAP may market its services and third-party services to individuals on its database if it believes that those services may assist the individual to improve occupational safety and health.
3. Data Quality
- IFAP will take all reasonable steps to ensure that all personal information held is accurate and up-to-date.
4. Data Security and Disposal
- IFAP will protect any personal information from misuse and unauthorised access.
- IFAP will take steps to destroy any personal information no longer required for the purpose it was originally collected. IFAP is required to maintain training records for 30 years and information required will not be destroyed for this time.
- If IFAP ceases to operate a training service, IFAP may transfer without notice to any individual its training records to a government agency or a similar not-for-profit organisation provided that the recipient organisation has a privacy policy similar to this policy.
5. Openness
- IFAP will outline in this policy document, or other documents as required, our clearly expressed policy and procedures on the collection, storage and use of personal information.
- On request from an individual, IFAP will take all reasonable steps to generally inform that person what sort of personal information IFAP holds, and for what purpose the information may be used or disclosed. IFAP will require an individual to provide proof of identity before providing this information.
6. Access and Correction of Information
- IFAP will take all reasonable steps to allow individuals access to their personal information on request so as to allow for requested changes to be made to that information if the information is inaccurate or incomplete.
- IFAP will allow the employer of an individual to access the individual’s training record unless requested by the individual to restrict access.
- IFAP will not provide access to reports, feedback sheets and other documents used in training unless the IFAP Managing Director believes it is required under the NPP Principle 2.
7. Identifiers
- IFAP will not adopt any identifiers used by a commonwealth agency (eg. tax file numbers, ABN’s, license numbers) for an individual.
- IFAP will adopt its own unique identifier for individuals which will not be linked to any identifiers used by a commonwealth agency.
8. Anonymity
- Because IFAP restricts access to an individual’s data to that person or their employer, anonymous access is not possible. Any individual requiring confidential access may contact the IFAP Managing Director to restrict their identification during access.
9. Transborder flow of data
- IFAP will not transfer an individual’s information to foreign countries in circumstances where the information will not have appropriate privacy protection.
10. Sensitive information
- Sensitive information will not be collected without the consent of the individual. Information provided to IFAP by an individual will be deemed to be provided with consent. IFAP does collect and retain reports on an individual’s medical fitness to undertake certain IFAP courses. This information will not be disclosed to any person or organisation without the written approval of the individual.
